This notice supplements the general Privacy Policy and prevails for the specific RFQ and attachment processing described here.
1. Purpose
The RFQ workflow enables professionals and organisations to request a technical and commercial assessment for LUMIFOLD Architectural Cladding or Habitable Containers. Processing includes contact details, project information, technical preferences, logistics data and optional CAD/BIM or other technical files.

3. Data collected
The form may collect name, surname, company, role, e-mail, telephone, country, project name/location, intervention type, project stage, area, height, material, finish, colour, LED, BIM/CAD needs, supply scope, budget, target date and notes. Container requests may additionally include model, quantity, intended use, destination, transport mode, unloading access, utility package, sanitary/furniture/climate package, stacking and site constraints.
4. Technical attachments
The system may accept PDF, DWG, DXF, IFC, RVT, RFA, SKP, 3DM, PLN, STEP/STP, images, Office and ZIP files within published technical limits. Attachments are optional unless specifically requested later. The sender must be entitled to disclose them and should remove unnecessary personal data.

6. Required and optional data
Mandatory fields are necessary to process the RFQ. Optional fields and attachments may be omitted, but insufficient information may prevent a reliable quotation or require further clarification.
7. Access and recipients
Authorised commercial, technical, administrative and legal/compliance staff may access the RFQ. Where necessary, relevant information may be shared with designers, engineers, manufacturers, processors, laboratories, component suppliers, installers, freight forwarders, carriers, customs brokers and other technical parties. Disclosure is limited to what is reasonably necessary.
8. International projects
For projects outside the EEA or international supply chains, professional and project data may be transferred to foreign parties. Personal-data transfers are handled under Chapter V GDPR where applicable.
9. Retention
RFQs not converted into contracts are normally retained for up to 24 months after closure or the last useful interaction. RFQs converted into orders become part of the commercial file and follow statutory and contractual retention periods. Retention may be extended for disputes, audits, warranties or legal claims.
10. Attachment security
Attachments are intended for protected storage and not public publication. UESE applies risk-based access controls. Highly confidential files may require a dedicated channel; passwords for encrypted files should be communicated through a separate agreed channel.
11. Third-party personal data
A sender providing personal data about third parties must be authorised to do so and must limit the data to what is relevant. The sender remains responsible for the lawfulness of the original disclosure and rights in the submitted documents.
12. Technical confidentiality and trade secrets
This notice governs personal data and is not an NDA. Materials containing trade secrets, unpublished inventions or highly confidential information should be shared only after appropriate confidentiality arrangements have been agreed with UESE.
13. Rights
The rights described in the Privacy Policy apply. Quoting the RFQ reference number helps locate the record.
14. Relationship with quotation and contract
Submitting an RFQ is not an order and does not oblige UESE to accept a project. Any supply is governed by the quotation, order confirmation and General Terms of Supply.
12. Confidential project material and trade secrets
Technical attachments may contain confidential business information. This Notice governs personal-data processing and does not replace an NDA or other commercial confidentiality agreement. For particularly sensitive projects, the requester should flag confidentiality requirements before submitting strategic material and use any secure exchange channel agreed with UESE.
13. Security controls on attachments
To protect infrastructure and users, uploaded files may be subject to technical checks, extension validation, size limits, renaming, segregated storage, scanning or quarantine. Suspicious files may be rejected or left unopened. The absence of an automated alert does not constitute a security certification of the file.
14. Sharing within the project chain
Where necessary to assess the request, relevant data and documents may be shared on a need-to-know basis with authorised UESE staff, technical advisers, qualified manufacturers/subsuppliers, logistics providers or partners involved in the evaluation, under an appropriate legal role and confidentiality controls where required.
15. Transition from RFQ to contracted project
If the RFQ develops into a quotation, order or contract, relevant RFQ data may become part of the commercial/technical project file and be retained under periods applicable to contract administration, accounting, warranty, conformity and legal-claims management. If no relationship develops, shorter retention principles apply as set out in the Privacy Policy.
